Nomination Title: Allianz Ayudhya Game Night - Thailand's FIRST VIRTUAL and INTERACTIVE Staff Party
The date on which this nominated event took place: Allianz Ayudhya Game Night was arranged on 5 March 2021
Under the light of COVID-19, the traditional staff party to recognize past year achievement and to engage all employees nationwide could not be arranged as the company was not allowed to gather big group of people. However, the management team all agreed that the event should continue in order to ensure employee engagement and let them know how much we appreciated their great contribution during one of the most challenging year ever. So the first issue we need to crack is how can we turn this “physical party” into something totally fun and engaging yet keeping “social distancing” principles
Working with Thailand’s top entertainment & concert production team – HUI team design
With such challenging task, we decided to partner with HUI team design, Thailand’s top concert and music festival producers who is specialised in using creativity, virtual technique such as VR (virtual reality) and XR (extended reality) and innovation to create “new experience”. Despite being in the show business for over 15 years, this was also the first time for HUI to worked with a corporate like Allianz Ayudhya to deliver “employee engagement” activity in the next level!
Celebrating Allianz’s worldwide Olympic & Paralympic partnership
The concept of “Game Night” was originated from the fact that Allianz Group has now entered into a partnership with Olympic and Paralympic movement from 2021-2028. To create awareness and pride among the employees, the concept therefore built around “sport competition” where employees are grouped into 5 different teams inspired by the Olympic ring colours. During the 3 weeks prior to actual event, employees will need to collect scores and compete via interactive games to win as many as medals via physical activities such as walk, run and cycling for their team before declaring the top winner on the final day.
Game Night was designed to serve following objectives
1) Create awareness & pride of Allianz as a worldwide Olympic & Paralympic partner from 2021-2028
2) Increase employee engagement across all line of businesses and drive unity in the organization despite the pandemic
3) Drive health and well-being through regular exercise activities to collect point prior to the finale day
4) Practice new way of engaging & motivating virtual team across country.
Key success factors
After the concept was finalized next step was to find the way to create excitement and engagement throughout this journey. We therefore have developed following actions/items to ensure a successful event and result
Online engagement platform. We have worked with HUI to specially developed the mobile application as an engaging platform. Functions of the application include;
-Randomly assigned employees to 5 team
-Dashboard and chat as a conversation starter for all employees
-Daily quizzes about Olympic partnership to win some prizes
-Live online game platform was activated at the event date
“Walk – Run – Bike” mission for the team. This is another tactic to create health and wellness and at the same time drive team winning spirit with the dashboard for people to keep track of the team/individual result and progress.
Integrated communication throughout the pre-during-post event
-All channels of internal communications geared toward the “Game Night”
-Management lead by example by staring in the Teaser VDO to help excite employees
-We also brought in representatives from each team to drive engagement along the way as a “cheering squad” to seed in excitement and act as ambassador to support the event
Here comes the finale, over 1,200 finally united and interacted LIVE!
On the finale day, around 70 members of athletes from each team together with the management were at the broadcasting studio to compete the games while others were participating from home or office via Webex Event broadcasting. Over thousand employees not only watched the game online but also got a chance to contribute score to their team via application. Finally, after 3 hours of different games and many rounds of lucky draws to keep excitement, the real team winner was revealed together with the very positive feedback from many employees that they never imagined that a virtual event would be much FUN and engaging!!
Tremendous success – positive result internally and externally!
-Over 93% of employees download the mobile application
-Together, our employees burnt over 2.2 million calories during the exercise activities. Those who never exercise before also started to change their behaviour as they wanted to be part of the challenge and support team.
-Over 90% of employees joined LIVE broadcasting on the final day
-4.4/5 scores of satisfactions from employees
-1 million baht cost saving from shifting the total physical event to the hybrid one
-Positive news coverage as the events has attracted many journalists and was regarded as one of the “best” employee engagement of the year
-The learning from this virtual event can be scalable to business partners. Currently, we are working with HUI to turn our typical tied-agent’s annual seminar into such hybrid events.
