Nomination Title: Tata Consultancy Services India - Administration Department

Tata Consultancy Services (TCS) Administration department supports 5 lac strong workforce spread over 46 countries and office spaces covering 42 million Sq ft area. While the pandemic changed the way we live and work, it also provided an opportunity to reimagine the department’s role in supporting employees, clients and taking care of support staff. We ensured continuous operations for clients while taking care of employees and their families. More than 10000 contractual workforce employed for security, housekeeping etc were continually employed through the pandemic.

P&L responsibilities: Apart from performing various support functions which include transportation, cafeteria, technical infrastructure support, facility management, Physical and digital security and purchase amongst others, the Admin department has acquired the status of an entity with P&L responsibilities rather than being a cost centre. Admin team provides TCS business verticals fully serviced seats (including physical infra, security and Health & Safety aspects) for a cost, which forms the revenue. The revenue and costs for different regional centres are assessed as part of Admin Score Card periodically.

Sustainability Targets: Admin is performing lead role in TCS attaining its targets of reducing Greenhouse Gases Emissions through Science Based Targets by 2025 and Net Zero ambition by 2030 through various initiatives.

Covid Care Centres (CCC): This initiative came into being due to shortage of hospital beds during pandemic. A first in India by any company, we set up first line, no-cost COVID Care Centers within our campuses. With innovative use of office spaces, CCCs set up across 13 cities. This ensured specialized care to more than 700K employees of TCS and the entire Tata Group and their families, thus reducing burden on existing public health infrastructure. Services include
-Critical medicines, Oxygen and specialist doctors
-Admission for patients up to 75 years of age with comorbidities under control
-eICU provides intensive care through 24*7 remote monitoring of patients’ parameters by a team of intensivists at Command Centre and coordination with onsite care team

Vaccination Drive: Support provided towards creation of Covid Vaccination Centres (CVC) as well as governance structure and operational support towards smooth functioning at locations pan India for vaccination of employees and their families.

Creation of Logistics Network with Digitized solution: During pandemic, TCS’ operating model enabled our workforce to work remotely. However, majority of employees had returned home to different parts of the country and required their IT hardware, still in offices, to continue working. The pandemic had completely disrupted the existing logistical networks. The Administration department used a multi-pronged approach to evolve a system, which has potential for deployment in the post pandemic new normal.

-Material management Tracker tool used to streamline and expedite operations and logistics.
-Identified vendors at local & national levels and reconstructed a customized logistics network
-Covered 4571 cities, 23,409 pin codes, shipping over 3 lacs devices to and from employees’ residences.
-Innovative methodology, which involves DIY packing of IT hardware by employees themselves. The process offers a no-touch experience for employees and reduction in Green House Gases emission by avoiding multiple trips.

Operational workplaces were needed to ensure continuation of critical activities. It’s a testimony to the resilience of Admin team that offices have been kept operational from the first day of pandemic.Enhanced hygiene and Governance structure ensured complete protection of those who work from office.

-New touchless technologies including sensor operated sanitizers, installed thermal scanners and sensor operated washroom fixtures have been introduced across the workspaces.
-Innovative usage of workspace: Concept of Safe Operating Zones across offices used. Segregation of employees into different zones allows social distancing, avoid large spread of disease and help with contact tracing in case of a Covid-19 positive case. Similarly, Occasional Operating Zonesestablished in all locations, wherein suitable zones were identified and prepared along with other services to facilitate occasional short visits of employees to TCS offices for support.
-Special curative sanitization chemical used to ensure 30 days curative protection of surfaces.

Summary:
-3.6 MwP capacity renewable energy projects installed at campuses, while Installation of 2.7 MwP projects is WIP. Signed a Power Purchase Agreement for sourcing 1.1 MW solar energy. Together these will help reduce carbon foot print by 21,777 tCO2e which is about 10% of TCS carbon footprint of FY 21.
-Creation of innovative and customized composite logistics framework to service employees in a Work From Home model.
-Special curative chemical provided to local civic body for Covid-19 containment.
-Procured Oxygen concentrators from UK and Oxygen cylinders from various sources and delivered to Covid Care Centres across the country despite logistical chain breakdown.
-Enhanced bed capacity from 230 to 1590 within two months at Covid Care Centres to counter the increasing rate of Covid-19 infection.
-Enabled operationalization of eICU at Covid Care Centres across 13 cities towards advance care of patients and reduce dependency on hospitals.
